NHS Foundation Trust – Intranet update
The Brief
Our NHS Trust client’s old intranet was cluttered with content and documents that were out of date with a design that did not meet their current design standards.
HRS provided expertise covering content generation and project management; supporting our client to update, develop and migrate 209 patient care pages from the original intranet to the new intranet within a tight time frame.
Our approach
Following an introductory call between the NHS Trust and the HRS Team to align on current status, understand ways of working, previous learnings and planned roll out, we were able to get started.
Excellent project management was key to bringing all parts of this project together and maintaining momentum, and HRS achieved this through implementing and adhering to a timeline to manage workflow, ensuring coordination of all stakeholders. Frequent check-ins with the client ensured everyone was kept up to speed and that there were no surprises.
Meanwhile, our team of writers ensured that all content was standardised and written in the appropriate style, liaising with the content owners where appropriate to ensure smooth progress. While the content was being developed, touch points with the web developers allowed us to pave the way for efficient uploading of the approved content to the new intranet site.
Throughout the process, our team sought feedback from the Trust to ensure an adaptable and efficient approach.
The results
Once the content was finalised and uploaded, the Trust’s intranet site was launched on time. Importantly to HRS, this was achieved with a minimum of fuss to the Trust.
Feedback on the process is important, but feedback on the finished product is essential too, and in this case it speaks for itself. Two months after the intranet went live:
Average monthly visits increased 5-fold
Search usage was increased with time to find content reduced by 9 times to under 1 second on average
The majority of staff reported now using the intranet site – up from fewer than 15% – with most saying it helped them find the information they needed readily
The target for obsolete pages and broken links was surpassed
In summary, the new intranet fulfils its aim of being a key internal communication channel for staff within the NHS Trust and a key tool for finding information critical to the day job, surpassing the expectations of our client.
